Six steps, in order. Steps 1 to 3 are data work. Steps 4 to 6 are activation and measurement.

Step 1: Decide Which CRM Records Qualify as an Audience

Not every record belongs in an ad audience. Apply three filters: does the account fit your ICP, is there a named contact with a verified work email or company domain, and is the record active rather than archived.

Records that fail all three are enrichment work, not targeting work. A workable starting rule: every account on the current target list, plus any account sales has touched in the last 12 months.

Coverage beats volume. 200 accounts where you hold three or four mapped contacts each will outperform 2,000 accounts where you hold one.

Step 2: Segment by Deal Stage, Not Job Title

Step 3: Fix the Four Fields That Decide Match Rate

Ad platforms match on a small number of fields. Get these right and reach follows:

  • Company domain, not company name. A registered legal name matches poorly. A domain matches reliably.

  • Work email, not personal. Match rates fall when a contact signed up to LinkedIn with a private address.

  • First and last name in separate fields. Combined name fields fail silently.

  • Country. This is what disambiguates duplicate company names across markets.

LinkedIn documents a minimum matched audience of around 300 members before a campaign will deliver, per its Matched Audiences documentation. The exact threshold is not consistently published and varies by audience type, so treat 300 as a working floor rather than a fixed universal rule. Either way, sync more records than your intended audience size to absorb match loss. Step 4: Sync Each Segment to Your Ad Platforms

Two routes exist. A native integration between CRM and ad platform keeps the audience updating on a schedule. A manual CSV export does the job once, then decays.

Run the same segment across more than one channel. A buyer who sees your brand on LinkedIn and again in programmatic display accumulates familiarity faster than one reached on a single channel.

Step 5: Automate the Refresh So Audiences Never Go Stale

A CRM audience is only as current as its last sync. Set the refresh to run nightly or weekly. Quarterly is not a refresh.

The mechanic worth building: make CRM state the trigger. When a rep adds a company to the pipeline, that company should enter the advertising audience without anyone opening Campaign Manager. When a deal closes, the account should move to the customer segment automatically.
